How Do I Mark a Lot as No Sale in BidWrangler?

Edited

In a timed auction, BidWrangler automatically marks an item No Sale when the item closes and the high bid does not reach the reserve price. In some cases, you may choose to mark an item as No Sale manually, for example an outside sale or a withdrawal. The No Sale button closes the item and records it as unsold. It does not create an invoice or a sale for a bidder who did not win, but still remains on the settlement of the assigned seller.

When You Might Manually Mark an Item as No Sale

Some common cases when an item needs to be manually marked as No Sale include:

  • The seller accepted an offer outside the platform (typically in real estate auctions).

  • The high bid did not meet the reserve price, and the seller will not negotiate with the highest bidder after the auction closes (typically in manual close real estate auctions).

  • The seller or the auction house withdrew the item before or during bidding.

  • A parcel or parcel combination in a live multi-parcel real estate auction did not end up in the winning combination.

Once every item in the auction is clerked, the auction moves to Complete status. This applies to a single-item real estate auction as well.

How to Set an Item to No Sale From the Online Clerking Panel

  1. Sign in to BidWrangler and click View Auction on the appropriate auction.

  2. Click Clerk on the item to open the Online Clerking Panel. This button replaces Register to Bid when signed in.

  3. Find and click on the item that needs to be clerked, and click Manage Item.

  4. If the item is Accepting Bids, or if Manual Close is enabled and the item shows as pending, click No Sale to resolve it.

    a. If the item has already closed, there's a slightly different procedure to follow - please refer to How do I re-clerk an item?

  5. Make sure that the item now shows as No Sale in the item list or the history.

What Happens Once an Item Is Marked No Sale

Once an item is set to No Sale, BidWrangler does not generate an invoice or a sale confirmation for it. The high bid at the time of closing won't be factored into your reporting, but the item will remain on the Settlement for the assigned seller.

FAQ

Does BidWrangler have a separate "Passed" or "Withdrawn" status, or is No Sale used for all of these?

No Sale is the confirmed status for an item that closes without a completed sale. This covers an outside sale, a withdrawal, and an unmet reserve alike. No separate "Passed" or "Withdrawn" status exists.

Can I undo a No Sale and reopen the item for bidding?

Yes. An item marked No Sale can be reopened in the Online Clerking Panel, for example if a backup bidder later wants to complete the purchase. See How Do I Reopen An Item For Bidding? for the reopen workflow.

What if the reserve was not met but the seller wants to negotiate with the highest bidder after the auction closes?

Do not mark the item No Sale yet. The item likely already resolved to No Sale automatically when the reserve was not met. Reopen it in the Online Clerking Panel, adjust the bid or bidder once terms are agreed, and set it to Sold instead. See How do I re-clerk an item? for this reopen-and-sell workflow.

Does marking one item No Sale affect the rest of a multi-item or multi-parcel auction?

It depends on the parcel combinations, not the No Sale status itself. In a timed multi-parcel real estate auction, when you sell one parcel or parcel combination, BidWrangler automatically sets the other parcels or combinations to No Sale. If you mark a standalone item No Sale, this does not change the status of unrelated items in the same auction.

Who can set an item to No Sale?

You set an item's status in the Online Clerking Panel. This needs admin or clerk-level access to the auction.

Why do some items already show as No Sale without anyone setting that manually?

BidWrangler applies No Sale automatically in more than one case, not only when the reserve is not met. If an auction's scheduled end time passes while items are still in it, those items update to No Sale automatically. If you later extend the end time and add new items, the new items accept bids. The original items stay in the No Sale state until you reopen them. See Items in Auction set to 'No Sale' upon publishing for this case and how to reopen the affected items.
