How Are Buy-it-Now Purchases Invoiced and Paid in BidWrangler?

When a bidder buys an item at the Buy-it-Now price, BidWrangler can invoice that item before the auction closes. The bidder can then pay that invoice online. If the same bidder wins more items in that auction, BidWrangler adds those items to the same invoice. BidWrangler does this even after the bidder pays the invoice and the invoice is locked.

The time that the invoice appears depends on the "Enable auto invoice creation" setting in Company Settings.

• If "Enable auto invoice creation" is on, BidWrangler creates the invoice when the bidder clicks BUY IT NOW.

• If "Enable auto invoice creation" is off, the Buy-it-Now item goes on the bidder's invoice when you create invoices for that auction. You can create invoices before the auction closes.

BidWrangler does not make a second invoice for the same bidder in the same auction. When the bidder wins more items, BidWrangler adds those items to the existing invoice. This rule applies to paid invoices and to locked invoices. The invoice then shows the new balance due.

For example, a bidder pays a $2,000 Buy-it-Now invoice during the auction. At close, the bidder wins two more lots for $300. The same invoice now shows the two new lots and a balance due for the new total.

Two settings control what the bidder sees and how the bidder pays:

• Show invoices: If this setting is on, bidders can see their invoices and the balance due in their account.

• Enable Pay Now button: If this setting is on in the Invoice Settings attached to the auction, bidders can pay the invoice online.

BidWrangler does not send a new email when it adds items to an invoice. To tell the bidder about the new balance, email the invoice to the bidder.

Do these steps before the auction starts. Company Settings apply to all of your auctions.

1. In the BidWrangler admin portal, click "Settings" under "Company" in the left menu.

2. Click the "Edit" pencil icon next to the company logo.

3. Expand the "Customization" dropdown.

4. To create invoices automatically, select the "Enable auto invoice creation" checkbox.

5. To let bidders see their invoices, select the "Show invoices" checkbox.

6. Click save at the bottom of the screen.

7. Go to Invoicing and Payment > Invoice Settings.

8. Click the pencil next to the invoice settings for the auction.

9. Select the "Enable Pay Now button" checkbox.

10. Save the invoice settings.

11. Open the auction and find the "Invoicing" heading.

12. Make sure that the auction uses the invoice settings from step 8.

1. Open the bidder's invoice.

2. Click "Invoice Actions."

3. Click "Email Invoice."

4. Click "Send."

To email all invoices for the auction, open the Invoices screen. Filter for that auction with the "Filter By Auction" dropdown. Then click "Filtered items," then "Email filtered invoices," then "OK."

Can a bidder pay for a Buy-it-Now item before the auction closes?
Yes. The bidder can pay when the invoice exists and the "Enable Pay Now button" setting is on for the auction. The invoice exists after the Buy-it-Now purchase if "Enable auto invoice creation" is on. If it is off, the invoice exists after you create invoices for the auction.

Will the bidder get a separate invoice for items they win when the auction closes?
No. BidWrangler adds the items to the invoice that holds the Buy-it-Now item. The bidder gets one invoice for each auction.

What happens if the bidder already paid the Buy-it-Now invoice?
BidWrangler still adds the new items to that invoice, even if the invoice is locked. The invoice then shows a balance due for the new items. The bidder can pay that balance online if the "Enable Pay Now button" setting is on.

Does the bidder get an email when new items are added to their invoice?
No. BidWrangler does not send an email when it adds items to an invoice. Email the invoice from Invoice Actions to tell the bidder about the new balance.

Why can't the bidder pay the new balance online?
The "Enable Pay Now button" setting can be off in the Invoice Settings for the auction. The invoice balance can also meet or exceed your Pay Now Threshold. When that happens, BidWrangler turns off the "Pay Now" button for that invoice.

Can I turn off automatic invoice creation for one auction?
Yes. Automatic invoice creation has a company-level setting and an auction-level setting. You can leave it on for the company and turn it off for one auction. Then you create invoices for that auction when you are ready.
