How Are the Totals on My Tax Summary Calculated?
How BidWrangler tax summary totals are calculated: what makes up Total Sales, where the N/A row comes from, and why taxable sales can show zero tax.
The tax summary groups the charges on your invoices by tax rate. Each row shows the sales and the tax collected for one tax rate. Total Sales is the sum of every charge on your invoices except tax. Total Tax is the sum of all tax collected, and it includes tax charged on convenience fees.
What Counts Toward Total Sales
Total Sales adds four charge types from your invoices: the item subtotal, the buyer's premium, convenience fees, and buyer's fees. Tax is not included in Total Sales.
An invoice export shows the same charges as columns. Add the Subtotal, Buyer's Premium, Convenience Fee, and Buyer's Fee columns from the export. The result matches Total Sales on the tax summary.
Why Total Tax Can Be Higher Than Your Invoice Export
Total Tax on the tax summary includes tax charged on convenience fees. The tax column on the invoice export does not include convenience fee tax. When the two totals differ, examine the convenience fees on the invoices that were subject to tax. The tax on those fees explains the difference.
Where the N/A Row Comes From
The N/A row collects charges that have no assigned tax rate and no tax-exempt status. Buyer's fees and convenience fees without tax assigned are the most common examples. When some invoices tax a fee and other invoices do not, the untaxed fees appear in the N/A row. To find the source of an N/A amount, open the invoices from that auction and examine the fees without tax.
Why Taxable Sales Can Show Zero Tax
An item with a custom tax rate of 0.0 collects no tax. The buyer's premium on that item can still count as a taxable event. This occurs when the "do not tax" setting is off for that buyer's premium. The premium then shows in the taxable column, and the tax collected stays at zero.
How Tax-Exempt Buyers Appear on the Tax Summary
You can assign a permanent tax rate to a buyer in their user settings in the admin portal. The exemption applies to all new invoices from that point forward.
The change is not retroactive. A locked invoice keeps the tax it charged. To correct a locked invoice, unlock the invoice and update the tax status. The corrected amounts then show on your reports for that auction. A refund can be necessary to balance a previous over-collection.
How to Reconcile the Tax Summary Against Your Invoices
The Administer Invoices screen does not include a filter for tax rate or for tax-exempt category. Reconcile the totals from an invoice export instead.
Open the Administer Invoices screen in the BidWrangler admin portal.
Export the invoices for the auction or the auction group to a CSV file.
Add the Subtotal, Buyer's Premium, Convenience Fee, and Buyer's Fee columns. The result matches Total Sales.
Add the tax column, then add the tax on the taxed convenience fees. The result matches Total Tax.
