Who Created or Last Edited an Item in BidWrangler?

Edited

Quick answer: Full Admins can see who created or last edited any item in BidWrangler by opening Administer Items, clicking the circular "i" icon on the item, and looking just above the Seller Settlement section. Three fields - Created By, Last Updated By Employee, and Last Updated By Employee At - show who created the item, who last edited it, and exactly when.

This is especially useful for auction companies with multiple staff or part-time catalogers, where tracking down who made a specific change used to mean contacting BidWrangler support directly.

Prerequisites

  • Full Admin access to your BidWrangler Admin Portal. This information is not visible to non-admin roles, including catalogers.

How to Find Who Created or Last Edited an Item

1. Go to Administer Items

From your Admin Portal, navigate to the Administer Items page.

2. Open the item's details

Find the item you want to check, then click the circular "i" icon next to it to open the Item Details screen.

3. Locate the tracking fields

On the Item Details screen, just above the Seller Settlement section, you'll see three read-only fields:

Field

What it tells you

Created By

The employee who originally created the item

Last Updated By Employee

The employee who made the most recent edit to the item

Last Updated By Employee At

The date and time of that most recent edit

That's it - you should now see exactly who last touched the item and when.

How to See This for Multiple Items at Once (Bulk Export)

Created By, Last Updated By Employee, and Last Updated By Employee At aren't limited to one item at a time — they can also be added as columns to an Items export, so you can review cataloging and edit activity in bulk instead of item-by-item.

To pull a report for a specific day (for example, everything created or edited today):

  1. Go to Administer Items.

  2. Add a filter, such as Created at = "Today"

  3. Include Created By, Last Updated By Employee, and Last Updated By Employee At in your export column selections.

  4. Export using the option under Filtered Items — not the general Export tab at the top, which ignores your filters.

Tip: If you get a 504 Gateway Timeout error while exporting, you're likely exporting from the unfiltered Export tab instead of Filtered Items. The Export tab pulls the entire, unfiltered dataset (potentially hundreds of thousands of rows), which can time out. Apply your filters first, then export from Filtered Items instead.

Frequently Asked Questions (FAQ)

Who can see who last edited an item in BidWrangler?

Only Full Admins can see this information. It appears on the Item Details screen in the Admin Portal and isn't visible to catalogers or other non-admin roles.

Where do I find who created or last edited an item?

Go to Administer Items in your Admin Portal, click the circular "i" icon on the item, and look just above the Seller Settlement section for the Created By, Last Updated By Employee, and Last Updated By Employee At fields.

No. BidWrangler currently shows only the most recent creator and editor for each item, not a complete change-by-change history.

Yes. Add Created By, Last Updated By Employee, and Last Updated By Employee At as columns when exporting from Administer Items, ideally after applying filters and exporting via Filtered Items.
