How to Track VIN and Title Status using the Vehicle Title Summary Report in BidWrangler

The Vehicle Title Summary report gives auction administrators a single consolidated view of vehicle and title data across an auction. To find it, go to Auction → Review → Reports → Vehicle Title Summary in your Admin Portal. Only items with Title Tracking enabled will appear on the report.


How do I access the Vehicle Title Summary report?

You can reach the report in four clicks from the BidWrangler Admin Portal:

  1. Open the Auction you want to review.

  2. Select Review.

  3. Select Reports.

  4. Choose Vehicle Title Summary.

The report generates on demand and reflects the current state of your item settings. The report may also be exported as a CSV file for viewing and managing in external spreadsheet software.


What data does the Vehicle Title Summary report include?

The report pulls transaction and inventory details into one place so you don't have to cross-reference multiple screens.

Auction and item info

Auction name, Auction end time, Lot ID, Stock Number, Item Name, Item Description

Title information

VIN, Title Number, Title Required, Title Received (pulled directly from Item Settings)

Seller and Buyer information

Name, email, address, etc.


How do I enable an item to appear on the report?

By default, not every item populates this report. The Vehicle Title Summary only includes items with Title Tracking enabled. There are two ways to turn it on.

Option 1: Enable Title Tracking manually

  1. Open the item's Item Settings.

  2. Scroll to the Suggested Fields section.

  3. Check the Title Tracking? box.

  4. Save the item.

Option 2: Enable Title Tracking with a bulk import

If you upload your catalog by spreadsheet, add or update the Title Tracking column and set the value to TRUE for each vehicle item. Import the file as normal.

Once Title Tracking is enabled, those items appear on the Vehicle Title Summary automatically.


Frequently asked questions

Why are items missing from my Vehicle Title Summary report?

The most common cause is that Title Tracking is not enabled on those items. Open the item's settings, find the Suggested Fields section, and confirm the Title Tracking? box is checked. Items imported by spreadsheet must have the Title Tracking column set to TRUE. Items without this setting will not populate on the report, even when they have a VIN or title number entered.

Where is the Title Tracking setting located?

It appears as a checkbox labeled Title Tracking? under the Suggested Fields section of Item Settings.

Can I enable Title Tracking for many items at once?

Yes. Include a Title Tracking column in your item import spreadsheet and set it to TRUE for every item that should appear on the report.

Where does the VIN and Title Number data come from?

Both fields are pulled directly from each item's Item Settings. If a value is blank on the report, update it on the item record.

Do buyers and sellers see this report?

No. The Vehicle Title Summary is an administrative report available in the Admin Portal.
